WHAT IS BACKUP?
In information technology, a backup, or the process of backing up, refers to the copying and archiving of computer data so it may be used to restore the original after a data loss event. Instead of storing it all in one place (like your computer), you keep another copy of everything somewhere safe. A backup is a second copy of all your important files — for example:
- Your family photos
- Home videos
- Documents
- Emails
- Etc.
Data Archiving
Data archiving is the process of moving data that is no longer actively used to a separate storage device for long-term retention.

The 3-2-1 Backup Rule
- 3 copies of anything you care about – Two isn’t enough if it’s important.
- 2 different formats – Example: Dropbox + DVDs or Hard Drive + Memory Stick or CD + Crash Plan, or more
- 1 off-site backup – If the house burns down, how will you get your memories back?

WHAT THE DIFFERENCE
CLOUD STORAGE
- Cloud storage, also known as file sharing simply entails storing modest amounts of data online. These data amounts include only files that you manually select.
- Cloud storage is generally limited in capacity and is not a substitute for full backups. Only the few files that you have stored in a cloud storage account will be recoverable if you should experience computer data loss.
CLOUD BACKUP
- Cloud backup, back up of large amounts of data to protect against data loss. Unlike cloud storage, which backs up only limited files that you select.
- The main purpose of a cloud backup is to provide full protection against data loss. The only function of cloud storage that is not included default with cloud backups is the ability to share specific files with other people.
MEDIA TYPES AVAILABLE FOR BACKUP AND ARCHIVAL PURPOSES
- External hard drives: Portable hard drives are easy to use, faster than optical, but may need their data refreshed every few years.
- External SSDs (Solid State Drives): External SSDs are rugged and virtually shock-proof, but the NAND they use use won’t hold data forever.
- Tape; Magnetic tape is still in the discussion for enterprise.
- Optical: Optical retains a very strong presence in the archival community, as well as the enterprise.
- Online Storage: It’s super easy, convenient, and there are some very cheap online storage services such as Amazon’s Glacier, BackBlaze, Google Drive, and OneDrive.
